zZerocile

Your property manager's statements, in Xero, without the bookkeeping.

Forward the statements and bills you already get by email. Zerocile reads each one, splits it by property and posts it to the right accounts in Xero. Anything new or unusual waits for your OK, with the likely answer already filled in.

For landlords in New Zealand and the UK who use Xero. Set up in about two minutes.

How it works

Three steps, once. After that it's forwarding emails.

1

Connect Xero, check what it found

Pick the organisations that hold your rentals. Zerocile reads your accounts, properties and managers, and suggests how each kind of line should be coded.

You check it once, change anything that's off, and save.

Example

Here's what we found in Harbour Holdings Ltd

Check it once, change anything, and you're set.

2

Forward your statements and bills

You get your own forwarding address. Send statements and invoices there as they arrive, or set your email to do it for you.

Each PDF is read, split by property and posted to Xero with the PDF attached.

3

Glance at To do, now and then

Routine documents go straight into Xero. Anything new or unusual waits on one short list for your OK, with the likely answer already picked.

On Monday mornings you get an email if there's something there, and nothing if there isn't.

Made for how rentals actually work

Property managers' statements mix rent, fees, repairs and bills you've paid yourself. Zerocile sorts them out.

Every property has its own numbers

Each line goes to the right property and account using Xero's tracking, so you can see what each property earns and costs, not just the total.

Example

September, by property

From one statement, coded with Xero tracking.

12 Harbour St $2,6004 Kowhai Lane $2,150Flat 2, 18 Queen St $1,720
RentManagement feesRepairs

Costs counted twice, caught

When your manager pays a repair out of the rent and the tradesperson's invoice arrives too, Zerocile spots it before the cost lands in your books twice.

Example
Statement 46
Plumber, kitchen tap
−$174.63 taken off rent
Invoice 4471
Lakes Plumbing
$174.63 draft bill
The same repair, twice. Your manager already paid it from the rent, so the bill would count the cost again.

GST or not

Handles GST-registered and unregistered companies, and several organisations at once.

New Zealand and the UK

NZ books to 31 March, UK books in pounds to 5 April, each with its own rules.

Ready at tax time

One spreadsheet of the year, laid out like the return: IR3R in New Zealand, the SA105 property pages in the UK. Every figure has its transactions behind it, and a sheet lists anything worth checking.

Hand it to your accountant, or fill in the return yourself.

Questions

Do I need Xero?

Yes. Zerocile puts entries into your Xero organisations, so you need a Xero subscription for each one.

Which property managers does it work with?

Any that send their statement as a PDF. The first time something new turns up, such as a new kind of fee, it asks you how to code it and remembers your answer.

What if a bill doesn't say which property it's for?

Type a word above the forwarded message, such as the company or the street. Zerocile uses it to file the bill in the right place, and shows you it did.

What does my accountant see?

Ordinary Xero entries with the PDF attached, coded to your accounts. You can also invite them into Zerocile.

What if it gets something wrong?

Nothing new or unusual is posted without your OK. And anything that is posted can be taken back out of Xero in one tap for 14 days.

Can I stop any time?

Yes. Everything it posted stays in your Xero books.

Spend tax time checking, not typing.
